Acceptance of Terms
By accessing and using the Pasadena Clinical Group website (the "Site") and our services, including in-person, telehealth, and hybrid psychological services (collectively, the "Services"), you agree to be bound by these Terms and Conditions ("Terms"). If you do not agree to these Terms, please do not use our Services.
These Terms constitute a legally binding agreement between you and Pasadena Clinical Group. By using our Services, you represent that you are at least 18 years old or have obtained parental/guardian consent if under 18, and that you have the legal capacity to enter into these Terms.
Services Description
Pasadena Clinical Group provides comprehensive psychological and psychotherapy services, including but not limited to:
- Individual therapy and counseling
- Couples counseling
- Group therapy
- Family therapy
- Intensive Outpatient Therapy (IOP)
- Crisis intervention and support
- Educational resources and mental health support
Patient Responsibilities and Conduct
As a patient or website user, you agree to:
- Provide accurate, complete, and truthful information about your identity, medical history, and current condition
- Attend scheduled appointments or provide adequate notice of cancellation
- Pay for services according to our billing policies
- Respect the confidentiality of other patients and maintain professional boundaries
- Follow treatment recommendations and safety protocols
- Use our website and services lawfully, ethically, and respectfully
- Not engage in harassing, abusive, or threatening behavior toward staff or other patients
- Not use the Services for any unlawful purpose or in violation of these Terms
Appointment Scheduling and Cancellation Policy
Appointments are scheduled by speaking with our front-office staff via telephone. We require 1 business day advance notice for cancellations. Failure to provide adequate notice may result in a cancellation fee.
- No-show patients will be charged the full fee of $225.00, which may be reduced to $125.00 upon written approval by Pasadena Clinical Group
- Late payments are subject to a minimum $35.00 penalty
- Returned checks are subject to a $35.00 penalty
- Emergency appointments are available based on clinical need and availability
- Pasadena Clinical Group reserves the right to reschedule appointments when necessary
Payment and Billing Practices
We accept all major credit cards, debit cards, cash, checks, and PayPal. Payments are processed via Squareup or similar secure payment processors.
- Payment is due at the time of service for out-of-pocket expenses
- Co-pays, co-insurance, and deductibles must be paid upfront or upon processing of insurance claims
- Outstanding balances may be subject to collection procedures and additional fees
- Financial assistance may be available based on need; please inquire with our office
Insurance Participation
Pasadena Clinical Group participates in all major insurance plans, including PPO, HMO, EPO, and EAP networks. Insurance claims are processed through clearinghouses such as ClaimMD, Availity, OfficeAlly, or similar providers.
Patients are responsible for verifying their insurance coverage and understanding their benefits. Pasadena Clinical Group will assist with claims submission but cannot guarantee payment or coverage amounts.
Service Area and Geographic Limitations
Our services are available exclusively to residents of California. Telehealth services may be provided across state lines only if permitted by California law and the patient's location. International patients are not eligible for our services.
Telehealth Services
Telehealth services are provided via secure video/audio platforms. You must ensure you have adequate internet connection, privacy, and a suitable environment for sessions. Pasadena Clinical Group is not responsible for technical issues beyond our control.
Privacy, Confidentiality, and HIPAA Compliance
We are committed to protecting your privacy and maintaining the confidentiality of your health information in accordance with HIPAA, HITECH Act, and California privacy laws (CCPA, CPRA, CMIA). Please refer to our Privacy Policy and HIPAA Notice of Privacy Practices for detailed information.
Information shared during therapy is confidential except as required by law, including mandatory reporting obligations for child abuse, elder abuse, or imminent harm to self or others.
Scope of Services and Patient-Provider Relationship
Our services are limited to psychological assessment, diagnosis, and treatment within the scope of our licensed professionals' expertise. We do not provide emergency medical care, medication management (unless by authorized prescribers), or substitute for primary medical care.
The patient-provider relationship begins upon scheduling and initial contact. You have the right to terminate services at any time.
Emergency Situations and Crisis Protocols
Our services are not intended for medical emergencies. In case of a mental health crisis or emergency:
- Call 911 immediately for life-threatening situations
- Contact the National Suicide Prevention Lifeline at 988
- Go to your nearest emergency room
- Call our crisis hotline if available (626) 354-6440
Licensure and Regulatory Compliance
All Pasadena Clinical Group providers are licensed by the California Board of Psychology or equivalent regulatory bodies. Services comply with California Business and Professions Code, HIPAA, and federal healthcare regulations.
Pasadena Clinical Group may use software and data analytics to improve services, train clinicians, review performance, and train AI systems on complex clinical tasks, while maintaining patient confidentiality.
Website Analytics and Tracking Technologies
Our website uses analytics services to monitor website performance and improve user experience. By using our website, you consent to the use of these technologies:
Analytics Services Deployed:
- Google Analytics 4 (GA4): Configured with HIPAA-compliant settings including 2-month data retention, PII redaction, and Google Business Associate Agreement
- Umami Analytics: Privacy-first, self-hosted analytics with no cookies and no personal data collection
- Matomo Analytics: Self-hosted, open-source analytics with IP anonymization and full data ownership
What We Track:
- Page views, session duration, and navigation patterns
- Browser type, device information, and screen resolution
- Geographic location (city/region level, not precise location)
- Referral sources and traffic sources
What We DO NOT Track:
- Protected Health Information (PHI) or medical data
- Patient portal activity or intake form submissions
- Personal identifiable information in URLs or form data
- Email addresses, phone numbers, or patient identifiers
Website Use and User Conduct
When using our website, you agree not to:
- Use the site for any unlawful purpose
- Attempt to gain unauthorized access to our systems
- Upload or transmit malicious code, viruses, or harmful content
- Violate the privacy or rights of others
- Interfere with the proper functioning of the website
- Post defamatory, abusive, or harassing content
- Collect personal information from other users without consent
- Use automated tools to access the site without permission
Intellectual Property Rights
All content on the Site, including text, graphics, logos, and software, is owned by Pasadena Clinical Group or licensed to us and protected by copyright and trademark laws. You may not copy, distribute, or create derivative works without our written permission.
You retain ownership of content you submit, but grant Pasadena Clinical Group a license to use it for providing Services.
Disclaimers
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND. WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NONINFRINGEMENT.
We do not guarantee specific outcomes from therapy. Mental health treatment involves inherent risks, and results vary by individual.
Information on our Site is for educational purposes only and does not constitute medical advice.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, Pasadena Clinical Group, ITS EMPLOYEES, CONTRACTORS, AFFILIATES, AND THIRD-PARTY PROVIDERS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF THE SERVICES, INCLUDING LOST PROFITS, DATA LOSS, OR PERSONAL INJURY.
NOTWITHSTANDING ANYTHING TO THE CONTRARY, OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNTS PAID BY YOU FOR THE SERVICES IN THE 12 MONTHS PRECEDING THE CLAIM.
Indemnification
You agree to indemnify and hold harmless Pasadena Clinical Group, its employees, contractors, affiliates, and third-party providers from any claims, damages, losses, or expenses arising from your use of the Services, violation of these Terms, or infringement of third-party rights.
Dispute Resolution
YOU AGREE THAT ANY DISPUTES ARISING FROM THESE TERMS OR THE SERVICES WILL BE RESOLVED THROUGH BINDING ARBITRATION IN ACCORDANCE WITH THE RULES OF THE AMERICAN ARBITRATION ASSOCIATION. YOU WAIVE YOUR RIGHT TO A TRIAL BY JURY OR CLASS ACTION.
Arbitration will be conducted in Los Angeles County, California. Each party bears its own costs, except as otherwise provided by law.
Governing Law and Jurisdiction
These Terms are governed by the laws of the State of California, without regard to conflict of laws principles. Any legal action must be brought in the courts of Los Angeles County, California.
Severability
If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Modifications to Terms
We reserve the right to modify these Terms at any time. Changes will be posted on our website with an updated effective date. Continued use of our Services constitutes acceptance of the modified terms.
